Healthcare practices
Front-office and billing staff ask about a policy, a procedure or a payer's rules and get the answer from your own documents, with the source named.
For policies, procedures, payer rules and other administrative documents. Talk to us about your HIPAA requirements before you start.
How patient information (ePHI) is protected
Your catalog is for the knowledge that runs your practice: policies, procedures and payer rules. Patient identifiers are kept out of it, and checked for at every step.
Checked before it is kept
Every document is checked before it enters your catalog. Medicare numbers, medical record numbers, health plan member and subscriber IDs, dates of birth in medical records, Social Security numbers, and card and bank numbers are never stored, searched or shown in any app.
Left out, and you see why
A document that contains any of them is left out of the catalog entirely, and your catalog shows which documents and why. Files on your own servers are checked at your office, before anything is sent.
Never in an answer, never published
Copilot, Teams, ChatGPT and your website can't quote what isn't there, and a public AI search answer page that contains a patient identifier can't be published.
Files never stored
The catalog keeps only the text of the folders you choose, in memory, never the files. Remove a folder and its text is gone, and each department's documents are seen only by the people and groups you choose.
The check finds identifiers in the ways they are usually written; no automatic check can recognize every form, such as a diagnosis described in words.
Questions your people ask
Asked in Copilot, Teams, ChatGPT or Slack, and answered from your own documents with the source named.
- “What is our procedure when a patient arrives without a referral?”
- “What does the payer manual say about prior authorization for an MRI?”
- “What is our policy for releasing records to an attorney?”
Built around your payers or departments
Compare payers or departments side by side
Ask one question of several payers at once, such as how each handles timely filing, and get each one's answer from its own documents.
A payer or department from start to finish
Ask for a payer or department and get every document in its folder in date order, or an outline of what happened.
Who sees what
Keep management and HR documents to the people who need them, by Microsoft 365 group or by person.
Cited to the page
Every answer names the document and the page, so it can be checked before it is relied on.
Your documents stay yours
Built for businesses that answer to clients and regulators.
Files are never stored
The Catalog Server reads documents where they are and keeps only their text, in memory. Nothing is written to its disk; remove a folder and its text is gone.
Every client kept apart
Each organization has its own catalog, its own connection to the server and its own index. One organization's question can never reach another's documents.
